Writing formats
Make reusable formats for emails, meeting notes, journals and everyday text.
In the app: Writing tools → Formats, snippets & context rules → Your formats
What each format setting does
- Edit profile / Name
- Choose the format to edit and give it a recognisable name. Duplicate format creates a separate version you can customise.
- Default format
- The fallback format when no specific format or matching context rule is supplied. You can still choose another format for an individual operation.
- Structure
- raw = unedited transcript; tidy = light cleanup; bullets = a list; journal = a journal entry; meeting = meeting notes; email = an email draft.
- Tone
- natural stays close to ordinary speech; friendly adds warmth; professional uses a more formal style; direct gets to the point.
- Spelling
- preserve keeps the existing spelling style; US requests American spelling; UK requests British spelling.
- Capitalization
- preserve keeps existing capitalisation; sentence requests normal sentence capitals.
- Punctuation
- preserve keeps existing punctuation; standard requests normal punctuation.
- Condense details in this format (summary)
- Allows the format to shorten and omit detail. Leave it off when you need to keep the full thought. An unedited transcript format cannot use this option.
- Custom formatting instructions
- Extra guidance for this format, such as “Use a short greeting and three bullet points”. Review the preview to check the result.
Try this
For everyday dictation, start with Light cleanup, natural tone, your preferred spelling and Condense details off. For meeting notes, duplicate a format, choose meeting and name it “My meeting notes”.
Good to know
Press Save writing settings to keep formats, snippets and context rules. Removing a format also removes its matching context rules. Unedited transcript skips the AI writing pass, so tone and formatting instructions do not reshape it.
